Hampton in Arden Scout & Guide HQ - Conditions of Hire
1. The hirer is responsible for the building and its contents during the term of the hire. The rooms must be left in a good condition and clean at the end of the hire. Any breakages or damage must be reported by email at the end of the hire, or within a 24-hour period minimum and may be charged for.
2. The building is only available to the hirer during the hours booked. This is to include all set up and tidying time for the booked event. Do not under any circumstances enter the building prior to your booked time as there may be other events booked/running. Do not set up prior to your reserved time. You will be charged for any extra time taken.
3. The hirer is responsible for adhering to any extra Rules or Conditions in force at the time of the booking, ie Covid Guidelines.
4. Noise levels must be always kept to acceptable levels. PA systems and music equipment should be kept to low volume, especially when used in the garden area. Excessive noise levels could lead to your event being closed.
5. If you need the height barrier at the entrance to the car park opening, you must contact Hampton in Arden Parish Council, giving as much notice as possible, supplying time and date. Contact: clerk@hamptoninarden.org.uk
(there will be a charge for this service – open and close within 4 hours £10, over 4 hours £20) If you do not pre book barrier opening you will have to carry equipment from the car park entrance.
6. All equipment used should be cleaned and replaced to its original position. Floors should be swept or vacuumed. Lights must be turned off. Please ensure all tables are wiped before being put away. Please stack chairs and tables neatly in the cupboard .
7. Put all rubbish in the bin outside the hall (on the right of the building as you approach). Empty fridge of any items you have put in for your event.
8. Avoid sticking anything to the walls or paintwork with Sellotape. If you use Blu Tack or similar, please remove it at the end of your event.
9. Return keys to the key box at the end of the hire period and leave the building secured. Any damage resulting from the building not being secured will be charged to the hirer. Lost keys will be charged for. On no account should the code for the key box be shared with any other person
10. The Committee of the Scout & Guide HQ reserve the right to enter the building during any hire period.
